Job Title: Adoptions and Retail Coordinator

Job Relationship: Reports to Adoption and Retail Supervisor. Works closely with Animal Care, Behavior, Clinic, and Foster Departments, Volunteer Manager / Coordinator and Volunteers
Position Summary: Responsible for overseeing off-site adoption events and promotions, providing essential support to department supervisor by assisting with oversight of staff, and daily operations in the Adoptions department, and support and oversight of inventory, stocking, merchandizing and pricing of the APL’s retail store, Pawtique. The Adoptions Coordinator is an integral part of the daily operations of the adoptions team and is trained in all aspects to assist with daily operations and client interactions on a regular basis. This role participates in the performance of assigned departmental duties at an exceptional level.
Essential Job Functions:
Oversees and Advises Adoptions Personnel
- Acts as an advisor to Adoption associates. Directly oversees work assignments of associates and ensures completion of work as assigned and when Supervisor is not present. Alerts supervisor to any performance or attendance concerns.
- Orients new staff and ensures staff is trained and coached to a level necessary to achieve the APL’s mission and goals. Coaches staff by providing regular, ongoing feedback and training.
- Provides input to Adoptions Supervisor to resolve staff issues.
- Promotes teamwork, communication, and cooperation between APL departments; ensures staff provide high-quality, positive interactions with clients and co-workers.
- Monitors safety compliance of staff and volunteers.
- Ensures that policies and procedures are followed.
Coordinates Offsite Adoption Events
- Strategically coordinates with offsite partners and determines which events are best suited for the APL’s adoption program.
- Trains associates and volunteers on proper event handling and procedures; including animal outcome process, driving and maintaining APL vehicles, animal selection, and partner communication.
- Generates accurate statistical reports per timelines and as needed; monitors program statistics to ensure goals, including number of adoptions and donation revenue are being met. Proactively troubleshoots and communicates with supervisor if goals are not being met.
- Ensures that the team monitors the comfort, Fear/Anxiety/Stress of animals during events to ensure as Fear Free an experience as possible.
Maintains Retail Inventory
- Ensures that the retail store and inventory areas are kept clean, well-stocked, and organized.
- Tracks retail merchandise sales and maintains merchandise displays; makes creative improvements to displays as needed.
- Finds the best pricing options and prepares purchase orders working collaboratively with supervisor on purchases while ensuring timely ordering and delivery of retail items.
- Maintains retail inventory in Pet Point. Conducts quarterly inventory audits, watching for shrinkage, inventory levels, pricing, and ensuring cost of goods sold (COGS) are within industry standards.
- Looks for innovative ways to merchandise and upsell items to adopters from the Pawtique to help drive revenue and support customer needs.
- Places food orders from Hill’s Science Diet for shelter and client use. Purchases include new adopter bags and client use. Maintains appropriate inventory levels.
Provides high quality and positive client and animal care services
- Provides high quality service to event and store partners, customers, volunteers, and staff, recognizing their individual contributions to the success of our organization
- Provides prompt in-person and telephone customer service
- Actively solicits donations from clients, assists with accepting in-kind donations
- Actively promotes and markets APL animals and matches them to appropriate families
- Educates clients on responsible animal guardianship and animal care
- Conducts adoptions, provides adoption counseling/animal selection assistance, enters computer data, completes necessary paperwork and performs follow-up services
- Actively promotes the APL programs and events to clients, volunteers, and staff
- Always represents the APL in a professional and courteous manner to clients, volunteers, and staff
Performs other duties as assigned including but not limited to:
- Performs closing Supervisor duties as assigned
- Performs daily cleaning of public areas
- Stocks areas and spot-cleans kennels and public areas throughout the day
- Follows all safety guidelines to ensure a safe work environment. Takes immediate action to address any safety concern or noncompliance of safety rules that could put an employee, volunteer, client, animal, or the organization at risk
- Performs euthanasia as assigned
- Flexible with scheduling and available as needed when away from the facility for operational needs
- Participates in committees and special projects as assigned
Qualifications
- High school diploma or equivalent
- Minimum one-year customer service experience required
- Program coordination experience strongly preferred
- Ability to read and understand instructions
- Must possess a valid Ohio driver’s license and insurable driving record
Knowledge/Skills/Abilities
- Ability to work in a fast-paced environment with a variety of people
- Ability to use a computer, working in a windows environment
- Knowledge of animal breed, behavior, and handling
- Knowledge of animal health, able to identify illness helpful
- Ability to prioritize and perform duties efficiently and effectively with an adequate amount of independence
- Euthanasia certified or the ability to become euthanasia certified within 12 months of employment; willing to perform euthanasia
- Committed to maintaining the Cleveland Animal Protective League’s high standard of animal care and mission to foster compassion and end animal suffering
- Fear Free Certified or must become certified within six months of hire
