Job Relationship:        Reports to the VP of Operations. Supervises the Animal Care Manager and Animal Resource Center Manager

Position Summary:  Under the supervision of the VP of Operations, the Director of Shelter Operations oversees day to day operations of the shelter; supervises and coordinates staff to ensure effective and efficient operations and financial oversight; assists with the development of policies and procedures regarding shelter animal, shelter personnel, and client needs. Develops and implements new programs and expands existing programs to meet needs. Gathers and analyzes data and reports on trends. Oversees management of all shelter personnel resources. The Director of Shelter Operations fills in for the VP of Operations in his/her absence.

Essential Job Functions:

Oversees all aspects of shelter operations ensuring that a high standard of care and quality of services  are provided to animals and people.

  • Informed by goals set by the VP through the strategic plan, sets and prioritizes department goals and objectives.
  • Ensures quality of programs and services are offered in accordance with the APL’s policies, procedures, and philosophy and are meeting or exceeding the APL’s strategic needs. Ensures humane treatment and high standards of animal care and disease control are adhered to.
  • Coordinates with other departments to ensure programs meet quality and service requirements organization wide.
  • Develops, recommends, implements, and maintains updated standard operating procedures for shelter departments. Assists with shelter policy development.
  • Ensures compliance with OHSA, DEA, and all other relevant local, state, federal regulations, and requirements.
  • Responsible for response to and management of emergency situations related to operations.
  • Ensures excellent customer care is provided to patrons, visitors, and staff.
  • Serves as a liaison and promotes the APL’s goals, animal care, customer care and management philosophy to veterinarians, vendors, the public, media, other animal welfare related organizations, and the community.

Recommends, develops, and implements new programs, program enhancements, and processes to ensure continued progress and growth and achievement of the APL’s strategic goals.

  • Plays a lead role in new program development and execution as informed by the APL’s strategic plan.
  • Evaluates and reports on program effectiveness and recommends improvement as needed. Takes immediate action to correct problems or resolve discrepancies.

Ensures the proper utilization and procurement of resources including employees, volunteers, revenue, in-kind donations.

  • Provides leadership and supervision for shelter operations teams to include Animal Resource Center and Shelter Operations (Animal Care, Behavior, Foster Care, Volunteers).
  • Directs and supervises management staff in the performance of their respective responsibilities to ensure effective performance and achievement of measurable department goals. Provides guidance and resolutions for problems or staff issues.
  • Evaluates operational efficiency and makes adjustments as needed to optimize productivity, efficiency, and performance.
  • Fosters a workplace that results in the development of a high performing team of professionals and staff members. Recruits, develops, and inspires a highly effective team. Coaches staff and provides regular, ongoing feedback and timely performance evaluations. Develops annual goals with operations staff that includes timetables, procedures, and accountabilities. Utilizes performance-based management when counseling and evaluating staff.
  • Develops and monitors staffing plans and goals based on operating needs and animal and client care goals. Makes recommendations for staffing changes. Works with HR to develop job descriptions and ensure that training and orientation is meeting staff and volunteer needs.
  • Leads regular meetings to communicate policy/procedure changes and people or animal care issues.
  • Monitors monthly financial reports throughout the year and makes appropriate adjustments. Approves expenditures and reports discrepancies. Reviews accounts payable. Prepares and executes departmental budget on annual basis, to include projected income and expenses. Proposes and oversees capital expenditures and projects for APL improvements.
